Managing Your Tasks
Tasks are at the heart of FlowPlan. Here's everything you need to know about creating, organizing, and completing them.
Creating a task
- Go to Tasks in the navigation bar
- Click New Task
- Fill in the details:
| Field | Description | Required? |
|---|---|---|
| Title | What you need to do | Yes |
| Description | Additional details or notes | No |
| Duration | Estimated time in minutes | Yes |
| Priority | 1 (urgent) to 4 (low) | Yes |
| Due date | Deadline for the task | No |
| Project | Which project this belongs to | No |
| Preferred time | Morning, afternoon, or evening | No |
Understanding priorities
FlowPlan uses a 4-level priority system:
- Priority 1 β Urgent: Must be done as soon as possible. The scheduler gives these top placement.
- Priority 2 β High: Important tasks that should be done soon.
- Priority 3 β Medium: Regular tasks without pressing deadlines.
- Priority 4 β Low: Nice-to-do tasks that can wait.
Tip: Be honest about priorities. If everything is "urgent," nothing is. Reserve Priority 1 for tasks that truly can't wait.
Task statuses
Each task moves through a lifecycle:
- Pending β Not started yet. Ready to be scheduled.
- In Progress β You're currently working on it.
- Completed β Done! This counts toward your daily streak.
- Cancelled β Removed from your schedule without completing.
You can quickly toggle a task's status from the task list by clicking the status button.
Editing and deleting tasks
- Click on any task to open it for editing
- Change any field and click Save
- To delete a task, click Delete on the task detail page
Filtering your tasks
The task list lets you filter by:
- Status β See only pending, in-progress, or completed tasks
- Priority β Focus on urgent or high-priority items
- Project β View tasks from a specific project
Task chunking
Have a big task that will take several hours? FlowPlan can split it across multiple days automatically.
When you create a task with a long duration, the auto-scheduler may break it into smaller chunks that fit within your available work time for each day. This way, large tasks don't block your entire schedule.
Tip: For tasks longer than 2 hours, consider breaking them into subtasks manually. This gives you a clearer sense of progress and more flexibility in scheduling.
