Managing Your Tasks

Tasks are at the heart of FlowPlan. Here's everything you need to know about creating, organizing, and completing them.

Creating a task

  1. Go to Tasks in the navigation bar
  2. Click New Task
  3. Fill in the details:

Understanding priorities

FlowPlan uses a 4-level priority system:

  • Priority 1 β€” Urgent: Must be done as soon as possible. The scheduler gives these top placement.
  • Priority 2 β€” High: Important tasks that should be done soon.
  • Priority 3 β€” Medium: Regular tasks without pressing deadlines.
  • Priority 4 β€” Low: Nice-to-do tasks that can wait.

Tip: Be honest about priorities. If everything is "urgent," nothing is. Reserve Priority 1 for tasks that truly can't wait.

Task statuses

Each task moves through a lifecycle:

  • Pending β€” Not started yet. Ready to be scheduled.
  • In Progress β€” You're currently working on it.
  • Completed β€” Done! This counts toward your daily streak.
  • Cancelled β€” Removed from your schedule without completing.

You can quickly toggle a task's status from the task list by clicking the status button.

Editing and deleting tasks

  • Click on any task to open it for editing
  • Change any field and click Save
  • To delete a task, click Delete on the task detail page

Filtering your tasks

The task list lets you filter by:

  • Status β€” See only pending, in-progress, or completed tasks
  • Priority β€” Focus on urgent or high-priority items
  • Project β€” View tasks from a specific project

Task chunking

Have a big task that will take several hours? FlowPlan can split it across multiple days automatically.

When you create a task with a long duration, the auto-scheduler may break it into smaller chunks that fit within your available work time for each day. This way, large tasks don't block your entire schedule.

Tip: For tasks longer than 2 hours, consider breaking them into subtasks manually. This gives you a clearer sense of progress and more flexibility in scheduling.
